Overview

Hampton Inn and Suites sits in Clickpad as a register of 318 assets. The guest floors and the door hardware on them, the public areas and the spa, the front elevation and the signage across it, and the plant behind all of it — each one entered against the place it actually stands, so it is opened from the floor plan rather than found in a row of a spreadsheet.

An asset page is not a specification sheet. The specs are on it, and under them sit the service logs and a history timeline: what was done, when, and against which job it was raised. A guest room door reads as a sequence rather than a status — the closer tension adjusted, a hinge lubricated after a housekeeping squeak report, the peephole replaced, the card reader firmware updated. When a guest says the door slams and their key is sometimes refused, the complaint lands against that history instead of arriving on its own.

Every asset also carries a section for what we do not know about it. A serial nobody has read off a door closer, no install date on part of the exterior signage, no manual on file, a service interval nobody has confirmed. The gap is written down as a gap rather than left as an assumption, so the register is honest about its own coverage and the holes can be closed on the next visit rather than rediscovered on the next fault.

The copilot is per property. Asked why the sign on the front elevation is flickering, it answers out of this property’s register: when the lamp was last replaced, whether it is past its rated life, who installed the sign, and what has been raised against it before. The pattern of the flicker is the part worth knowing — it points at the driver rather than the lamp — so the work order is raised for the part that is actually failing, and it stays on the sign for whoever opens it next.

Maintenance runs off the same entries. Intervals live on the asset, so a door closer or a sign that has gone past its own interval is visible as itself and not as a line in a schedule kept somewhere else. CapEx planning is a separate hub reading the same register — the assets, their ages, their histories and the work already done to them — so the guest floors and the elevation over the entrance are planned for against what is recorded rather than against what is remembered.
